Receiving a message is just the start.
People reach out because they want to know something. If they receive no reply or don’t understand what to do next, the conversation can stop there. Review the path from contact to first reply.
Ask for what you need to help.
A name, email and what the person needs may give you enough context to reply. Every form field should have a reason. Avoid asking for every project detail before starting the conversation.
Explain what happens next.
When an inquiry arrives, acknowledge it and explain what comes next. If you set a response timeframe, choose one your team can meet.
Agree on who is responsible.
Define who checks messages and what happens when they’re unavailable. Record the conversation and next step so people don’t have to explain everything again.
Test it as if you were a customer.
Submit a request clearly marked as a test. Check where it arrives, what confirmation appears and how your team replies. Is the next step clear?
An inquiry is an opportunity to start a conversation. A clear next step helps you make use of it.
